Who "we" are. In this document, "we", "us" and "our" mean the IEEE Robotics and Automation Society, HTU Student Chapter ("IEEE RAS HTU"), which organizes MMRC 26. "You" means you, the reader.

This policy explains what the MMRC 26 website collects, why we collect it, and what we do with it. It covers mmrchtu.tech and the competition run by the IEEE Robotics and Automation Society, HTU Student Chapter.

What we collect

When you register a team. The team name; the email address of the person registering; and for each member their first and last name, email address, WhatsApp number, university, major, IEEE membership status and membership number. We also keep what you write about your technical experience and why you are entering, the membership tier you selected, and when you accepted these policies.

When you pay. The CliQ transaction reference you report, the amount you say you transferred, and the screenshot you upload as proof.

When you ask a question. The question, and your email address if you give one so we can reply.

When you join a mailing list. Your email address and, if you give it, your name.

When you play the game. The name you enter on the leaderboard and your score. You can use a nickname if you'd rather not be identified. Nobody checks it.

Automatically. Standard server and hosting logs, including IP addresses. We keep them for a short time to run the site and to stop abuse of the registration and payment forms.

When you open a page. Vercel Web Analytics counts page views: which page you opened, which site linked you to it, and your general device type and country. It sets no cookie and stores nothing that could recognise you later, here or on any other site. It counts visits with a value calculated from the request itself, and that value changes every day. Nothing you type into a form on this site is sent to it.

In your own browser. The site keeps a few things in your browser's local storage, on your own device. None of them are sent anywhere, and only this site can read them:

mmrc26.registration.draft: your unfinished registration, saved as you type so you don't lose it if you refresh the page, close the tab or leave to make your bank transfer. It holds text only. Your payment screenshot is never saved in your browser; it uploads only when you submit. This entry is deleted as soon as your registration is recorded.
mmrc26-theme: whether you chose the light or dark theme.
mmrc26-readiness: the boxes you ticked on the readiness checklist.
mmrcClassicHi and mmrcFpHi: your best score in each Pac Mouse mode.
pacMousePlayerName: the name you last entered on the leaderboard, so you don't have to type it again.

You can remove all of them at any time by clearing your site data.

Cookies. No cookie is set on the public pages of this site, and that includes the page view counting described above. The only cookie we use is the sign-in session for the admin area, and it is set only when a member of the organizing committee logs in. We don't track anything you do on the public pages with cookies.

An offline copy. A service worker saves copies of pages and images in your browser so the site still opens on a weak connection. It holds no personal data, and clearing your site data removes it.

We use no advertising trackers, and we don't sell anything to anybody.

Why we collect it

To run the competition: contacting teams, checking eligibility, setting up the brackets and reaching teams quickly on the day.
To take and verify the registration fee and match payments against the chapter's bank statement.
To answer the questions you send.
To email registered teams about MMRC, such as schedule changes, rule changes and results.
To keep the site running and protect it from abuse.
To see which pages people read, so we can build the next edition of this site around what they came for.

Who else sees it

We use these service providers, and only these:

Vercel: hosts the website, stores uploaded files including payment screenshots, and counts page views as described above.
Supabase: hosts the database that stores registrations.
Resend: sends the chapter's email.

Each of them processes this data only on our instructions and only to provide their service. Apart from them, we share personal data only when the law requires it, and with IEEE when we need to verify a membership number.

Some of these providers operate outside Jordan, so your data may be stored or processed abroad.

Payment screenshots

A screenshot from your banking app often shows more than the transfer, such as account numbers, balances and other transactions. Please crop it to the confirmation if you can.

We store these files privately, use them only to verify your payment, and delete them once the competition is over and all payments are reconciled.

What is public

The competition gallery, published results and the game leaderboard are public. Everything you submit through the registration form is private, and only the organizing committee can see it.

How long we keep it

Registration and payment records: for the competition and one year after it, for our accounts and to invite past teams to the next edition.
Payment screenshots: deleted once the competition is over and payments are reconciled.
Mailing list entries: until you ask to be removed.
Questions sent through the FAQ form: until we answer them, and for a reasonable time afterwards.
Server logs: for the short period our hosting providers keep them.

Your choices

You can ask to see what we hold about you, have anything wrong corrected, have your data deleted, or be removed from a mailing list. If you withdraw your consent for us to hold your registration, your team is withdrawn from the competition, because we can't run an entry we have no record of.

Children

MMRC 26 is for university students, and we don't knowingly collect data from children. If you think we have, tell us and we will delete it.

Changes

We may update this policy. If we make an important change, we will email registered teams. The date at the top shows when it last changed.
